HIPAA Compliance Course 

This project was completed in collaboration with my team of other instructional designers, Designers in Development. The project was to create a complete HIPAA compliance training program for the medical staff at the fictional organization Astronomika Propulsion. We were tasked with training on just one aspect of HIPAA compliance, Privacy Rules and Disclosure Exceptions. 

I was the Team Leader on the project. We used a Project Management workflow spreadsheet to stay organized, met collaboratively for several weeks, and each member was responsible for certain aspect of the project, though we all contributed in some way to each component of the project as a whole. 

Project Tracking 

The team used a Project Tracking worksheet to keep track of deadlines, storyboards, time on task, project status, roles, and deliverables. 

This was an extremely useful tool in keeping the project components organized and the team on task at all times. Each team member knew what was happening with every part of the project at all times.

The instructional design team was also able to see gaps in the training design and development that needed to be addressed and was successful in delivering the entire course on time. 




HIPAA Compliance Needs Analysis

The team started the design and development process by creating a Needs Analysis. We submitted this to our SME and, upon receiving feedback, used this to guide our design document and, ultimately, the course deliverables. 

When developing the needs analysis, we carefully considered the questions presented by analyzing the target audience in a formal, systematic process.

We needed to determine the desired outcome of the training, the current outcome, and the cause of current performance gaps with our inquiries.

We also needed to determine technological roadblocks to eLearning, budget, stakeholders and subject matter experts involved in the process.


HIPAA Compliance Design Document

We began by conducting a needs analysis and task analysis of the project. We met with SMEs to gather information and form our process decision making in terms of course model, structure and modality. We elected to conduct Instructor-led as well as virtual training.

The team moved through the ADDIE process, next creating a Design Document and Script to outline our structure format, learner objectives and content. This ensured all content was consistent across all modalities.

HIPAA Compliance Script

Upon completion of the NA and the Design Document, the team worked in an iterative and collaborative environment to create a working script we could use to be consistent in our deliverables across all training platforms. 

Any time a team member made a modification to their component of the training, the script was updated. This ensured the content within eLearning, ILT and VILT remained consistent and provided a systematic basis for learning.

HIPAA Compliance Assessment

Throughout the design and development process, the team created multiple knowledge checks to gauge the learners' internalization of the concepts. These consisted of interactive games, collaborative sessions, and scenario-based case studies.

The Assessment Document, seen here, was the summative assessment we created to better track assimilation of the new content with the learners. We avoided open-ended stems to prevent cognitive overload in the user.

HIPAA eLearning: Articulate Rise

eLearning component of the compliance training. This was created in Articulate Rise and content was gathered from SME and ID team script. It is similar in nature to ILT, but smaller in scope.

At targeted points in the training, the team created knowledge checks: drag and drops, interactive graphics, scenarios, etc. to ensure the learners' content acquisition was successful. The course culminated with a ten question quiz. The content was created with a surplus of interactive, multi-media activities to keep the learner engaged and reduce the cognitive load.

HIPAA Instructor-Led Training

ILT Slide Deck. This was created using content from the script we collaboratively created.

The learner objectives were used as the framework for the development process of the training. The team was vigilant in ensuring each component of the training could be tied to measurable learning objective

Course content was constructed in a manner that reduced extraneous information and focused on what the learner needed to internalize. Included are scenarios, collaborative activities, brain-breaks, games and a summative knowledge check at the end. The summative assessment was the exact same content used in the eLearning and VILT deliverables. 


HIPAA Compliance Facilitator Guide

After completing the course content, ILT and eLearning (Articulate Rise), we created both a Facilitator and Participant Guide to assist the instructor and the learners in meeting all course content and objectives.

The Facilitator Guide operated as a blueprint to the ILT/VILT training deliverable. It included critical information, such as learner objectives, duration, supplies, and required preparation.

Each slide in the deck was meticulously thought out by the team with clear instructions on dialogue, questions,  potential audience responses, and engaging activities to promote retention and transfer of new information

HIPAA Compliance Participant Guide

The Participant Guide acted as a companion piece to the Facilitator Guide. Included were the learning objectives, contact information for the instructor, and course agenda.

The team opted to include a "Parking Lot" to keep learners' thinking and engaged and this was used as a Q&A at the course duration. The learner was given each activity and scenario with room to take notes and write constructive responses to questions posed in the delivery of the course. 

A job aid was created that provided an easy-to-access, take home reference on one of the key components of the training: the 18 HIPAA protected health information identifiers. Included on the infographic was an augmented reality experience that offered the learner the opportunity to explore this concept further and have access to multiple resources at their fingertips.

HIPAA Infographic & Augmented Reality Experience

This infographic was created to assist the learners with identifying the 18 HIPAA PHI identifiers. It was included in all the training deliverables.

The Zapcode, once scanned by the user, transports the learner to an augmented reality experience where a wealth of other resources, links, and videos are available to them.
